What to Expect at Your First Event

You can never be certain exactly what to expect when hosting your first fitness event. If you’ve stayed organized throughout the planning process chances are this will extend to the day of the event. Although, things are bound to get a bit crazy because that is just the nature of hosting any type of event for the public, no matter how much of a planning expert you may be.

Regardless of your level of preparation and the amount of help you have there are a few things you can plan on encountering when race day arrives.

Something will go wrong. However minute a detail it might be, something will not go exactly how you planned. Sometimes this means it worked out better and sometimes it is a detail that needs immediate attention. Focus on being prepared for this and accepting of changes. If everything does go exactly as planned, all the better, but if it doesn’t you won’t be completely caught off guard.

Someone won’t show up. Hopefully, this will be a minor player in the hosting of the event, but someone may cancel at the last minute. Maybe it is sickness, cancellation of a baby sitter at the last minute or even oversleeping, but when working with a large planning committee it can happen. Think about the roles to which you’ve assigned your volunteers and consider whether you could move them around to cover more than one job. Also consider having a few extra people on hand to help in case of a cancellation, even if they end up being there only for support.

You will be asked questions about the details of the event. It’s likely you will have gone over this multiple times, but take time to look over information such as total registered, money donated and improvements made from the past before the day of the event. When you are pointed out as the coordinator you will likely get questions from those wanting details for local media, a school newspaper, or maybe even a blogger who is attending your event and planning to post about it on Charity Mile. Now that sounds familiar!
